Worcester County Has Two Registry Districts

Like several other Massachusetts counties, Worcester County splits its land records between two separate Registry of Deeds offices. The South District in Worcester covers the bulk of the county, serving 55 cities and towns. The Northern District in Fitchburg is much smaller, covering just five municipalities: Ashburnham, Fitchburg, Leominster, Lunenburg, and Westminster. If you are looking for a deed or mortgage document, you need to know which district covers the town where the property is located before you start searching.

Both districts are part of the statewide MassLandRecords system. You can access the Worcester South database at masslandrecords.com/worcester. The Northern District also has records searchable online. Post-1960 records are fully indexed by name, book and page, document number, property, recorded date, and city or town. Pre-1960 records use grantor and grantee indexes organized by last name and year range.

Worcester County government was abolished in 1998, same as most other Massachusetts counties. The Registry offices report to the Secretary of the Commonwealth.

Worcester South District Registry (Worcester)

The Worcester South District Registry is at 90 Front Street, Suite C201, in Worcester. The building is accessed through 100 Front Street at Mercantile Place. Register Kathryn A. Toomey leads the office. Research hours are Monday through Friday, 8:15 AM to 4:30 PM. The recording counter is open from 9:00 AM to 4:00 PM. For public records requests under MGL Chapter 66, the Records Access Officer is Kathleen Meehan-Sullivan, Assistant Register. The RAO will respond within 10 business days.

The online portal for the Worcester South district allows free searching and free document viewing. Registered Land searches are also available through the same interface. Certified copies cost $1 per page.

Worcester Northern District Registry (Fitchburg)

The Worcester Northern District Registry was established on August 1, 1884. It is located at Putnam Place, 166 Boulder Drive, Suite 202, Fitchburg, MA 01420. The office serves five municipalities: Ashburnham, Fitchburg, Leominster, Lunenburg, and Westminster. Records are available online from 1868 to the present. Phone: (978) 342-2132. If you need a deed or mortgage document for property in one of these five towns, you search the Northern District records. The online index and images go back more than 150 years. For documents older than 1868, you would need to contact the office about historical research options.

Worcester County Property Fraud Alerts

The Consumer Notification Service at cns.masslandrecords.com is free for any property owner. When you register, you receive an email alert any time a document is recorded against your name at either Worcester Registry district. You can sign up for up to three properties. Some private companies mail homeowners letters after a home purchase, offering to send a deed copy for $113 to $118. The Registry of Deeds provides the same document for $1 per page. You can also view it for free online at no charge. You do not need to pay a private company for your own deed.

Worcester County Recording Fees

Both Worcester Registry districts follow the statewide fee schedule. Fees are the same at the Worcester and Fitchburg offices. Common recording fees include: Deed $155, Mortgage $205, Discharge of Mortgage $105, Homestead Declaration $35, Declaration of Trust $255, UCC Filing $75, Federal Tax Lien $5, Plans $105 per sheet, Municipal Lien Certificate $80, and Certified Copies $1 per page. Excise tax is $4.56 per $1,000 of the sale price and applies to all deed recordings.

These fees are the same across all Massachusetts Registry districts. If you are recording multiple documents at one closing, the fees add up per document. The registry staff can give you an exact total before you record.

Other Worcester County Public Records

Property records are just one category of Worcester County public records. Court records for the county are searchable through MassCourts.org, the state's free online case lookup system. It covers the Worcester Superior Court, Probate and Family Court, and the various District Courts serving Worcester County. You can search by name or case number and see docket entries, case status, and party names without cost.

Vital records for Worcester County residents are handled at the state level. Birth, death, and marriage certificates are available through the Registry of Vital Records and Statistics. You can also get copies at the local city or town clerk's office where the event occurred. CORI background checks run through the Department of Criminal Justice Information Services.

Note: Each agency in Worcester County has its own RAO. For best results, contact the specific office that holds the records you need rather than sending all requests to one central address.

Making a Public Records Request in Worcester County

Under MGL Chapter 66, Section 10, any person can request public records from a Massachusetts government agency. The agency must respond within 10 business days. The first two hours of search and retrieval time are free for municipalities with more than 20,000 residents. After that, the rate is capped at $25 per hour. Copies are $0.05 per page, or you may receive electronic records by email at no charge in many cases.
